Linking to a File on Your Computer

If you want to add a specific document (for example Word, Excel or Powerpoint) to your website, without recreating it as a new webpage, then you can do this by creating a document link. Remember that there are some file size limits for this (as little as 150KB depending on your Contribute package), which can be restrict what size file you can link. The created link will take the viewer to a copy of the document, which is saved seperatly in the program and is not the actual file on your hard drive. This means that the original document is safe from changes/corruption, but does mean that if you need to make updates then you must make changes to the original and then relink it to the page again, deleting the old link first.

File Naming Conventions – try and name all files (Word/Excel etc) using the standard convention of year,month and date, inserting an underscore between each word. This will help you to organize your website files and links more thouroughly. For example Product Information need to be saved as: “090409 __Product_Information”

Linking a Word/Excel/Powerpoint Document:

Create a specific title for your link, such as the title of the document or the product. ‘Please click here’, can be a little vague, and doesn’t take the opportunity to reinforce what the link is about, but could be used in cases where the link is non specific.

Highlight this title and then click on the ‘LINK’ function in the toolbar and select “FILE ON MY COMPUTER”:

The insert dialog box nows appears and use this to search for the file that you want to link through the ‘Browse’ function.

Once you have selected the file you want click ‘OK’, and a copy of this file will be automaticallly added to the title link. You can check the link in Contribute by creating a temporary draft of your webpage by pressing F12, which is brought up in a new screen. In this draft you can click on the link and ensure the correct document appears. Close this temporary draft only, and then go back and continue writing the main draft of the article.
